We understand that obtaining legal, immigration, and tax services involves sharing sensitive personal data. This Privacy Policy outlines how we treat your information with the utmost security and respect.

Part I: Privacy Policy

  1. Information Collection

To facilitate accurate and efficient consulting services, we collect specific categories of personal data, including but not limited to:

  • Identity Verification:Full name, date/place of birth, nationality, and biometric data (photographs).
  • Official Documentation:Scanned copies of Passports, National IDs (KTP), Tax IDs (NPWP), and other government-issued identification.
  • Contact Details:Email addresses, phone numbers (including WhatsApp), and physical residential addresses.
  • Corporate & Professional Data:Employment history, organizational charts (for corporate/HR services), and business legality documents.
  • Financial & Tax Records:Financial statements, bank references, and documentation required for tax reporting and compliance.
  1. Usage of Information

We process your data strictly for professional purposes to deliver the agreed-upon services, including:

  • Immigration Processing:Facilitating Visas, Limited Stay Permits (KITAS), Permanent Stay Permits (KITAP), and other immigration matters.
  • Legal & Corporate Compliance:Drafting commercial contracts, managing company incorporation, and overseeing HR legalities.
  • Civil Administration:Processing Certificates of Residence (SKTT), Foreign National IDs (KTP OA), and Family Cards (KK).
  • Taxation Services:conducting tax calculations, filing reports, and providing strategic tax consultancy.
  • Client Communication:Providing critical updates regarding document status and regulatory changes.
  1. Third-Party Disclosure

We do not sell, rent, or trade your personal data.

However, to fulfill our contractual obligations, we may share necessary data with:

  • Government Authorities:Including the Directorate General of Immigration, Ministry of Manpower, Directorate General of Taxes, Civil Registry (Disdukcapil), and the Ministry of Investment (BKPM).
  • Authorized Partners:Strategic legal or technical partners strictly for the purpose of executing your service request (subject to your consent).
  • Legal Compliance:When required by Indonesian law, court order, or legal process.
  1. Data Security Standards

We utilize industry-standard technical and organizational measures to safeguard your data against unauthorized access, alteration, or loss.

  • Digital Security:Data is stored in encrypted, secure environments with access restricted to authorized personnel only.
  • Physical Security:Hard-copy documents are maintained in secure facilities.
  1. Your Rights (PDP Law No. 27 of 2022)

In accordance with the Indonesian Personal Data Protection Law, you retain the following rights:

  • Right to Access:Request a copy of the personal data we hold about you.
  • Right to Rectification:Request corrections to inaccurate or incomplete data.
  • Right to Erasure:Request the deletion of your data, provided such deletion does not conflict with statutory retention requirements or ongoing legal processes.
  • Right to Withdraw Consent:Revoke permission for data processing at any time (noting that this may impact our ability to provide services).

Part II: Refund & Cancellation Policy

At Almardini International Group, we strive for excellence in every engagement. However, we acknowledge that circumstances may change. This policy defines the terms under which Professional Service Fees may be refunded.

 

  1. Scope of Refunds
  • Eligible Funds:Refunds apply strictly to Professional Service Fees paid to Almardini International Group.
  • Non-Refundable Funds:Any Third-Party Costs—including but not limited to Government Non-Tax State Revenue (PNBP), taxes, levies, consular fees, or courier charges—that have already been paid or for which a billing code has been generated, are strictly non-refundable.
  • Written Requirement:All refund requests must be submitted formally via email.
  1. Refund Tiers

Refund eligibility is determined by the stage of the service workflow at the time of cancellation:

Pre-Commencement (Before work begins) 90% of Professional Service Fees*
Active Processing (Drafting/Data Entry stage) Max 50% of Professional Service Fees
Completion/Submission (Post-issuance/Submitted to Gov) 0% (Non-Refundable)

*Refunds are net of administrative and bank transfer fees.

Note on Rejections:

  • Our Error:If an application is rejected due to a technical error on our part, we will re-process the application at no additional cost.
  • Client Error:If rejection is caused by false data provided by the client, or sudden regulatory changes, no refund will be issued.
  1. Exclusions (Non-Refundable Scenarios)

No refunds will be granted under the following circumstances:

  • Fraudulent Documentation:Submission of invalid, forged, or manipulated documents.
  • Non-Compliance:Failure to provide requested documents or lack of cooperation within the required timeframe.
  • Force Majeure:Service halting due to sudden changes in government regulation, natural disasters, or system failures beyond our control.
  • Unilateral Cancellation:Cancellation by the client after documents have been submitted to the relevant government system.
  1. Refund Process

To initiate a refund, please follow these steps:

  1. Submission: Email admin@almardini.cowith the subject line:

REFUND REQUEST – [Client Name] – [Service Type]

Please attach the original proof of payment and a brief reason for cancellation.

  1. Verification:Our team will review the request within 7 working days.
  2. Disbursement:Approved refunds will be processed within 14–30 working days.

Bank Transfer Requirements:

For approved refunds, please provide the following details exactly as they appear on your account:

  • Invoice Number & Passport Number
  • Account Holder Full Name & Address
  • Bank Name, Account Number, & SWIFT Code
  • City & Country

Important Terms:

  • Refunds are returned to the original source account
  • Credit Card Payments:Refunded via bank transfer; fees incurred during the initial transaction will be deducted from the refund amount.
  • Currency:Refunds are calculated in Indonesian Rupiah (IDR) based on the exchange rate at the time of the refund transaction.
